One of Slovenia's leading textile companies has been crafting a story of excellence in the Slovenian textile industry for many years. As a premier manufacturer of high-quality fabrics, the company combines rich tradition with continuous commitment to innovation and adaptability. Their fabrics are produced through complex manufacturing processes where manual craftsmanship artistry interweaves with precise technical procedures – from initial concept to final product that meets the expectations of the most demanding customers domestically and internationally.

However, this success story faced a serious challenge when the company realized that traditional production management approaches no longer met the demands of modern business operations. Although the company was already using the PANTHEON ERP system for accounting and sales, the heart of their business – production – remained in an analog world where processes were still managed through manual documentation. This began to represent an increasingly significant obstacle to the company's continued development.

At the project's inception, company management explained that they had previously attempted digitalization with a former implementer, but production digitalization had not been successfully achieved. They were seeking a partner who would understand their specific requirements and could support all production processes with the PANTHEON system while integrating all their external products into a unified system.

The Challenge: Unusually Complex Production

When Stroka Business Group first entered the production facility, they quickly understood why previous digitalization attempts had failed. Fabric production at the company is exceptionally complex – their bills of materials extend to an incredible 30 levels, where each level brings its own unique requirements and specifications. Such complexity exceeded the capabilities of standard production modules.

Furthermore, the entire production tracking system was based on manual data entry. Employees manually recorded material consumption, production time, and other critical data, which prevented accurate cost tracking or process optimization. When they wanted to determine the production cost of a specific item, they had to rely primarily on estimates and approximations.

The company's technological infrastructure also presented challenges. They were using an older version of the PANTHEON system that was not integrated with other programs used in production. Particularly problematic was a fabric inspection program that was over ten years old and frequently caused workflow interruptions.

An additional challenge was the age structure of production employees. Most employees were older and had limited experience with computer technology, which meant the digital transformation needed to be implemented with particular care and emphasis on ease of use.

"This was not a typical ERP system implementation project," explains Romana Lesjak, Project Manager at Skupina stroka.si. "We were dealing with complexity that exceeded ordinary frameworks, and we knew we would need to develop numerous custom adaptations if we wanted to truly solve the challenges the company was facing."

Methodology: Beneath the Surface of Processes

Recognizing the project's complexity, Stroka Business Group decided on a thorough project approach. First, consistent with their company practice but this time even more comprehensively, they invested time in a current state assessment. During this crucial period, they became thoroughly familiar with all the company's business processes, pain points, and future aspirations.

They spent considerable time in production, observing work processes, speaking with employees and department heads, and trying to understand every detail of their work. Special attention was paid to understanding the flow of documents and information between different departments, as this connection was crucial for successful system integration.

"The current state assessment was extensive and demanding, as we needed to understand all production processes and their specifics," explains Romana Lesjak. "The client was using numerous external products that needed to be integrated into PANTHEON to achieve the desired system unity."

Following the thorough analysis, Stroka Business Group prepared a comprehensive implementation proposal that included upgrading to the latest version of PANTHEON MF, implementing all necessary modules, and complete digitalization of the production process. The project was designed for a two-year period, allowing for gradual implementation of changes and adaptation to specific client requirements.

During implementation, they established a regular meeting rhythm – weekly operational meetings at the client site enabled prompt challenge resolution, while monthly meetings with management coordinated strategic directions. They created a detailed monthly plan by content blocks and precise document workflow mapping, ensuring transparency and predictable execution.

"The project was somewhat different from others, mainly due to certain parts that we had to program custom," explains Romana Lesjak. "We spent a lot of time with the client to understand their processes and find optimal solutions for their specific requirements."

Solution Architecture: Custom Integration of Specialized Systems

The true value of the PANTHEON MF system implementation at the textile company lies in the scope and depth of customizations developed by Stroka Business Group to meet the client's specific needs. All business processes, from customer orders and sales to procurement, warehousing, and production, were supported by state-of-the-art modules adapted to the complex requirements of the textile industry.

Special attention was paid to integrating specialized external systems that were crucial to the company's operations. They successfully integrated the following systems into PANTHEON:

  • Arahne program for generating basic technical product data
  • RealTime program for product quality inspection and receiving good meters into inventory
  • CRM system for order recording at trade shows and design layout management
  • Shop Floor/MES system for production reporting

The scope of system customizations was exceptional – they developed 200+ custom procedures, 175 additionally created reports, and integrated 4 external systems. Among the key customizations, the enhancement of the item master stands out, which they upgraded with an additional 65 fields and sub-codes for precise tracking of product characteristics. This enabled monitoring of numerous technical parameters specific to demanding production processes in the textile industry.

They also developed a "order basket" system for efficient communication between sales and warehouse, a module for maintaining technical sheet records, a system for precise production cost determination, and a module for creating serial numbers and labels that enables product traceability throughout the entire production process.

Complete production digitalization represented a special challenge and simultaneously the project's greatest achievement. The company installed computers or tablets with barcode readers at all 17 workstations, while Stroka Business Group ensured the connection of technological infrastructure and all systems into a unified functioning whole within the ERP system. This enabled data capture directly at the point of origin, which significantly increased the accuracy and efficiency of production processes.

For warehouse operations optimization, Stroka Business Group developed a dedicated scanner application that enables material receipt, transfers between warehouses, order creation, fabric cutting, inventory review, and inventory execution.

When designing user interfaces, special attention was paid to ease of use, as they were aware that most production employees had limited experience with digital technology. Through intuitive interfaces and thorough training, they ensured that even older employees accepted new technologies and began using them effectively.

Real-Time Traceability: Production Process Optimization

The textile company's production floor looks completely different today than before the PANTHEON MF system implementation. Instead of paper forms and manual records, computers or tablets now stand at all workstations, and employees use barcode readers to record every step of the production process.

When a new order arrives in production, a production order is automatically generated with all necessary information. Employees can see precise work instructions, required materials lists, and estimated production time on their terminals. When they begin work, they simply scan their identification card and the production order barcode, and the system begins recording time spent.

Materials are automatically deducted from inventory when employees scan their barcodes, ensuring accurate consumption tracking and preventing errors. After completing work at a specific production phase, the worker marks the operation as complete, and the system records time spent and materials used while updating the production order status.

Management can monitor the progress of all production orders in real-time, identify bottlenecks, and optimize work allocation. If unexpected issues arise, they can quickly respond and adjust the production plan, as they have access to all relevant information in one place.

"Previously, they estimated how much a product cost them; now they have precise data for each item showing exactly what it cost," explains the project manager from Stroka Business Group. This precise insight into production costs enables better business decision-making and production process optimization.

Digitalization has also brought fundamental changes to the warehouse. Warehouse staff use barcode readers to quickly and accurately execute material receipt, transfers between warehouses, and material preparation for production. The serial number-based inventory management system enables precise tracking of materials and products throughout the entire production process, ensuring higher quality final products and reducing error possibilities.

Inventory, which previously required several days of work and caused production interruptions, is now executed quickly and efficiently using barcode readers. This enables more frequent inventory checks and faster detection of potential discrepancies.

Measurable Results: Data Instead of Assumptions

The PANTHEON MF system implementation at the textile company has brought fundamental changes to company operations and enabled complete digitalization of all business processes. Production, which previously relied on manual documentation and dispersed information systems, is now integrated into a comprehensive information system that enables precise tracking, analysis, and optimization.

Precise production cost determination represents one of the project's greatest benefits. The company now has exact cost data for each item, enabling better pricing positioning and production process optimization. This is a significant improvement compared to the previous system that relied on estimates and approximations.

Digitalization has also brought significant workflow optimization. Operations are executed faster, inventory tracking is more accurate, inter-departmental communication is more efficient, and customer response is quicker. Implementation of the serial number-based inventory management system with scanner usage has enabled more accurate inventory monitoring, faster inventory execution, and better material and product traceability throughout the production process. This enables timely intervention when discrepancies occur and ensures high quality final products.

Despite initial concerns about digitalization among older employees, the digital transformation was successfully implemented. Through intuitive user interfaces and thorough training, all employees adapted to the new way of working. Processes are standardized and optimized, inter-departmental communication is faster and more efficient, which is reflected in improved work atmosphere and higher productivity.
